The Manager Monthly report option is currently in closed beta. Unless you are included in the beta, you will not see this option in Reports.
What are Manager Monthly reports?
Manager Monthly reports are a new option found on any company's reports page within your Phin account. It works by sending info on which users have not completed their training to their relevant manager. This user-focused training report would be sent out once every month and allow your clients to better regulate their own training program.
What's included in the Manager Monthly report sent to managers?
If any employees have not completed their training at some point over the last 12 months, they will be listed as a 'User to Watch'. Managers will receive a version of the 'Users to Watch' CSV that only lists employees who report directly to that manager.
Example: John Smith, who has 7 direct employees, works at Company A, which has 300 employees. When the 'Users to Watch' list is generated and sent to managers because the 'Manager Monthly' report option has been enabled, John Smith will only receive a list with a max of 7 employees, all of whom report to him.
- If all employees are up-to-date on training, John Smith will still receive an email letting him know they have completed it.
Why would I turn on Manager Monthly reports?
Manager reports give managers insight into who is not completing training. What they decide to do with that information is ultimately up to them, but we encourage managers to do the following:
- Talk to employees who aren't completing training to understand the challenges they face. If it is a challenge Phin can solve, we'd like to know about it. The more information Phin receives about these challenges, the better positioned we are to help solve them.
- Talk to employees about the importance of completing the training. Even if an employee believes they don't need the training, helping someone understand why it's important to the company can go a long way.
- Celebrate employees and teams who complete their training month over month. Even a 'thank you' is enough.
We built this report type to help partners close the reporting gap between themselves and the companies they serve.
What if I only want certain managers to receive these reports?
Managers can be excluded from receiving 'Manager Monthly' reports using the 'Report Recipients' table at the bottom of the 'Manager Monthly' report type. By selecting one, many, or all managers, you can include/exclude managers from receiving the reports.
What do the managers see?
The managers you choose to include in getting these reports will receive 1 of 2 email types at the beginning of every month.
- Email Type 1: Users to Watch
- This email outlines that their direct reports are not completing all assigned cybersecurity training. It will include a CSV attachment listing only their direct reports that are listed as 'Users to Watch'.
- Download an example of the Manager Monthly 'User to Watch' CSV
- Email Type 2: All Users are Up-to-Date
- This email lets the manager know all their direct reports are up-to-date on completing their Phin cybersecurity training.
